Groups & Corporate

Ten or more travelers? Stop using a booking engine.

Group rail pricing is negotiated, not published. Coordinated seating, flexible name changes and a single invoice are things a website structurally cannot offer.

Who We Handle

Groups we book every week

Schools & universities

Field trips, campus tours, marching bands and study-abroad arrivals. Chaperone seating blocks, single invoicing and documentation for school finance departments.

Weddings & reunions

Guests arriving from a dozen cities on one weekend. We coordinate arrival windows so the shuttle runs once, not eleven times.

Sports teams

Equipment handling, adjacent seating blocks, and schedules that survive a fixture change. Baggage volume is the part people forget.

Corporate travel

Consolidated billing, cost-centre coding, traveler profiles, duty-of-care reporting and a named coordinator on one phone line.

Tour operators

Blocked space held against your departure calendar, with names supplied later and change windows negotiated in advance.

Incentive & retreat travel

Scenic routes chosen for the journey itself — the Zephyr, the Starlight, the West Highland Line — with private-room blocks and dining reservations.

How Group Rates Work

What changes when you cross ten passengers

Above the group threshold, rail carriers open negotiated pricing that is not published and not obtainable through consumer channels. Terms differ by carrier and by route, and they are frequently better than the lowest public fare.

Just as importantly, group bookings allow name changes, deposit-based holds and consolidated payment — none of which exist on an individual ticket.

  • Negotiated pricing not available through public channels
  • Seating blocks so your group actually sits together
  • Names supplied later; deposits hold the space now
  • One invoice, one payment, one point of contact
  • Flexible name change windows before departure
  • A dedicated coordinator through to departure day

Getting Started

Three steps to a group quote

Call the group desk

Tell us the origin, destination, approximate date and approximate headcount. Exact names are not needed at this stage.

We negotiate and hold

We approach the relevant carriers, secure the best available group terms and hold the space against a deposit while you confirm numbers.

You supply names and travel

Final names by the agreed deadline, one invoice, documents issued as a single pack, and a coordinator on call through departure day.

Questions

Group travel questions

What counts as a group?
Generally ten or more passengers travelling together on the same train. Some carriers and some routes set the threshold differently, and we will tell you where yours falls.
Can we pay a deposit and confirm names later?
On most group bookings, yes. Deposit amounts and name-change deadlines vary by carrier and are confirmed in writing before you commit.
Can you handle mixed rail and hotel?
We book the rail portion and coordinate timing with your accommodation. We are a rail specialist, not a full tour operator, and we would rather do one thing properly.
Do you provide documentation for school or corporate finance teams?
Yes — itemised invoices, W-9 documentation, cost-centre coding and traveler manifests as required.
